Matter and Intake Customization in Litify Inbox

Background

When searching Litify Inbox for Matters and Intakes, your results might not include what you’re looking for. Furthermore, your search results might not appear in a way that you’d expect (or that’s the most helpful).

By default, Litify Inbox allows searching for records by their Record Name (For example, MAT-12433648 or INT-756565758). However, it’s possible to customize the search box to provide results on a wider range of terms. You can also adjust the way that search results are presented, so that they appear in a more human-readable format.

Customization Access

In order to adjust the Litify Inbox search criteria and results appearance we need to navigate to the Customization page.

  1. Launch the Litify Inbox Sidepanel from Outlook.

  4. The Customization window will open on a separate page in your browser.

After accessing the Litify Inbox Sidepanel Customization page, you will need to customize how Litify Inbox displays Matter and Intake objects as well as search criteria. This process is done separately for each object type, and the two flows are outlined below. 

Matter Object Setup

Verify that the Matter object is added to the Objects available in Litify Inbox

Enable Matter Card

  1. In order to check if the Matter object is enabled, type "Matter” into the filtering field in the Objects in Litify column. Enabling Matters object
  2. Check the box next to Matter if it’s not already checked. This enables the Matter card to appear in the middle column.
  3. Once the Matter card is present in the middle column, Litify Inbox is capable of interacting with Matter objects.

When left as is, users will get the following in Litify Inbox when searching for Matters: Example Matters search

Users may wish to customize these search results—also called Compact Matter Cards—so that they display more useful information, such as: client name, date, display name, or case status. Follow the steps below to customize the information displayed in the Compact Matter Card.

Adjusting Display Fields

  1. Select the Matter card in the middle column of the Customization page.
  2. Click the triangle icon to expand the list of items available. Remember that there are four fields, and that you can customize each.
  3. Start typing in the search box to find the field you wish to appear first, then click it when it appears in the list. For example, I would like to see the Client name first when searching. I start by typing "Client" in the search box, and select Client once it appears in the list. Example of adding client name in compact layout
  4. Repeat this process up to three times for the remaining fields that you would like displayed. Adding additional display fields
  5. The selected fields should now be displayed in the Compact Matter Card of search results. Example of fields displaying in search results

Managing Search Filters

Sometimes Matters may not appear in the Litify Inbox when you search for them. There are several reasons why this might happen:

  • You do not have access to the given Matter object in Litify.
  • The Matter card is not enabled in Litify Inbox customization (as outlined in the previous steps).
  • The criteria to search records by are incomplete in the Customization settings.

To address these issues, first ensure that you have access to the Matter object by opening it in Litify. If you cannot open the Matter, you might need to have your permissions adjusted.  

If you can view the Matter, make sure that the Matter object is enabled within the Litify Inbox (using the flow above).

Finally, confirm that the search criteria are added to the Search by component of the Matter card in the Customization Settings.

Adding items to the box under Search by should help you to receive the results that you expect when searching the Litify Inbox.

Intake Object Setup

Similar to the above customization changes, here is a guide on how to customize Intake object so that they appear in the way you would expect.

Enabling the Card for Intake

  1. In order to check if the Intake object is enabled, type "Intake” into the filtering field in the left column of the Customization page. enabling Intake to be used or interacted with in Litify Inbox
  2. Check the box next to Intake if it is not already checked. This enables the Intake card to appear in the middle column.
  3. Once the Intake card is present in the middle column, Litify Inbox is capable of interacting with the Intake object.
  4. Similar to the Matters flow above, you will need to perform some additional customization so that search results appear as you’d expect.

Adjusting Display Fields

  1. Click the Intake card in the middle column of the Customization page.
  2. Click the triangle icon to expand the list of items available. Remember that there are four fields, and that each can be customized.
  3. Start typing in the search box to find the field you wish to appear first, then click it when it appears in the list. For example, I would like to see the Last Name field first when searching.   4. Repeat this process up to three times for the remaining fields. Additional display fields

To address these issues, first ensure that you have access to the Intake object by opening it in Litify. If you cannot open the Intake, you might need to have your permissions adjusted.

Finally, confirm that your search criteria have been added to the Search by component of the Intake card in the Customization Settings

Save Customization Changes

It is extremely important that you save your customizations after you’ve made your changes. 

  1. Save your updated customizations by clicking the Save button on the Litify Inbox Sidepanel Customization bar. litify inbox sidepanel customization save button
  2. Open the Litify Inbox menu, and refresh. 
  3. After the refresh is complete restart the Outlook app.
  4. Confirm that the changes have been applied by searching for a Matter or Intake within Litify Inbox.
