Litify Inbox Admin Panel Settings

The Litify Inbox Admin Panel contains settings to control the Litify Inbox sync, document management, and customization functions. These settings can be applied either to the whole Organization or to individual Add-In / Chrome Extension users. This article focuses on various settings that you may wish to adjust for your organization. For a more detailed overview of the Litify Inbox Admin Panel, please refer to our dedicated article. 

Please note that updates to the Litify Inbox Admin Panel should be performed only by dedicated Admin users. If you are not sure what settings to add/remove, reach out to Litify Inbox Support.

Enable/Disable Access to Sync Settings

Some commonly used settings are implemented on the Other Settings tab of an Organization as toggle buttons and entry boxes.

Some of these settings duplicate the ones available in the User’s Synchronization Dashboard

From this tab Admins can either allow users to edit the settings available in their Sync Dashboard or restrict updates to these settings by switching the respective toggles off.

Allow Customization Management

By default, all users are allowed to adjust the settings in their Customization Panels. 

This ability can be restricted either for all users in the Organization or for selected individuals.

To Restrict this Setting for Specific Users:

  • Toggle this switch button to allow or disallow the end users in this organization to manage their individual customization settings via the Customization Panel.

Please note that to have this setting applied, users must log out from their Litify Inbox sidebar and then re-login.

To Restrict this Setting for the Organization:

Add the following setting to the Settings subtab of the Organization:

Once access to the Customization Panel is restricted, users won’t be able to see it as an option in the Litify Inbox menu.

Email Threads Auto-Sync

Enable/disable automatic saving of all emails that belong to the same thread.

This setting can be applied either in the Organization Settings tab or in an individual User record Settings tab.

Appointments Auto-Sync

Enable/disable automatic sync of appointments. Appointment is an event without attendees.

This setting can be applied either in the Organization Settings tab or in an individual User record Settings tab.

Meetings Auto-Sync

Enable/disable automatic sync of meetings. Meeting is an event with attendees.

There are some exceptions to how Events sync. Please review the Exceptions to 1:1 Event Sync article for Event sync exceptions.

Recurring Events Auto-Sync

Enable/disable automatic sync of recurring/repeating events. 

There are some exceptions to how recurring Events sync. Please review the Exceptions to 1:1 Event Sync article for the recurring Events sync exceptions.

Document Storage Settings

Storage Type

Add a setting to define the document storage type that Litify Inbox will use to save email attachments to. By default, all Litify Firms use Docrio as a document management system and expect all their attachments to be saved to Docrio.

If no ServiceExternalStorage Type setting is added to the Organization settings, email attachments will be saved to Salesforce Files.

Default Folder

Firms that use Docrio as a Storage Type can define a default Docrio folder and/or subfolder email attachments will be saved to.

Please note that for the attachments to save properly to the default folder, such a folder and a subfolder (if defined) should exist on a record where an email with attachment is saved to.

Category value represents the Folder, and the Subcategory value represents the Subfolder.

Replace the Name values with the folder and subfolder names that Firm has defined as default for email attachments.

Special Settings

These settings control the Litify Inbox Add-In / Chrome Extension and synchronization aspects and are applied as custom features to meet specific Firm’s needs.

Default Add-In Customization

Add  this setting to apply default customizations to new Litify Inbox users as well as to existing users when the Reset to Defaults operation is initiated by the user from the Customization Panel.

Event Deletion Strategy

This setting manages automatic removal of calendar items from Outlook/Gmail calendar by the Litify Inbox Sync if they were deleted from the Litify calendar.

By default, if an Event is deleted in Litify, the corresponding Event in Outlook/Gmail calendar is not deleted.

Such Events stay in Outlook/Gmail calendar and are excluded from the sync scope and no longer assigned with the blue Litify category.

To force the deletion of such Events from Outlook/Gmail calendar apply the following setting:

Event Attendees Smart Sharing

When enabled, this setting allows Litify Inbox to re-sync attendees to Litify on every sync session. This applies to cases when new attendees are added to the Events created in Outlook/Google calendar.  If this setting is disabled, the attendees list gets upsynced to Litify only once, on the Event’s initial sync.

Event Safe Description

This setting disables the Event Safe Description feature for an organization.

All Organizations have this feature enabled by default. 

When an Event is created in the Outlook/Google calendar and is synced to Litify only the original body of the Event is synced to the Event description field. No future updates made to the description on either side will be reflected on the other.

This principle is applied to prevent the cases when an end user would add some internal-use-only or sensitive notes to an Event  description in Litify.

If the Safe Description is disabled, these notes would be downsynced to the corresponding Event description in Outlook/Google calendar  and then automatically sent to all the meeting attendees, along with any other meeting updates, potentially causing unwanted situations.

To disable the Event Safe Description feature, and allow all updates to Event description to sync both ways, add the following setting:
