Docrio Email Client Setup Guide

 

This article will walk you through the process of setting up Docrio Email for your organization. The Docrio Email setup process is broken up into the following four steps:

  1. Step 1: Installing the Docrio Email Package 
    • This is distributed via a URL that you can acquire from our List of Latest Releases article, or if unavailable there, by reaching out to your CSM or Litify Account Manager. 
  2. Step 2: Initial Setup Flow Within the Litify Platform
    • There is a dedicated section of the Docrio Email Admin Settings page found within the Litify platform where these steps will need to be performed. 
  3. Step 3: Configuring Objects and Display Fields for Docrio Email
    • During this step you will map Display Fields to specific Objects within the Docrio Email Admin Settings page found within the Litify platform.
    • This step covers just some of the things you can do on the Docrio Email Admin Settings page. For a more comprehensive overview of this page and it’s various sections and settings, please see our “Docrio Email Admin Settings Overview” article.
  4. Step 4: Installing the Docrio Email Manifest URL
    • This step is essential so that Microsoft Outlook can communicate effectively with Docrio Email, and by extension the rest of the Litify platform. 
    • Please keep in mind, while this step is mentioned in this article, due to the complexity and options associated with it, the full process for installing the manifest URL can be found in our “Installing the Docrio Email Manifest URL” article.

Prerequisites and Other Considerations

The initial setup process of Docrio Email must be performed by a Litify user with a “System Administrator” account. This will ensure that the installation process goes smoothly, and that any changes made will apply to your entire organization. 

Additionally, before starting on this process your organization will need to be provisioned with a Docrio Email license. To acquire this license, please reach out to your CSM, Litify Account Manage, or Litify Support.

Step 1: Installing the Docrio Email Package 

The first step when setting up Docrio Email is installing the most recent package of Docrio. As mentioned above, this package is distributed via a URL that you can acquire from our List of Latest Releases article, or if unavailable there, by reaching out to your CSM or Litify Account Manager. 

  1. Opening the Docrio installation package link will open a webpage where you will need to log into your organization’s instance of Litify. 
  2. Afterwards, you will be sent to a “Upgrade Litify Docs” page. From here select “Install for All Users” and click Upgrade.

  3. After clicking Upgrade a “Upgrading and granting access to all Users...” message will appear.

  4. After a few minutes a “This app is taking a long time to upgrade.” message may appear. This just means that the upgrade is still being installed. 
  5. Finally, once the installation is complete you will receive an email to the account linked to your Litify login, letting you know that the installation completed successfully.

You may notice that the installation page for Docrio Email mentions Litify Docs, this is not a mistake. Litify Docs was the precursor to Docrio, and the Docrio Email application is installed along with Docrio. We’ve kept the Litify Docs name for back-end purposes, but rest assured that you’re installing the correct package. 

Step 2: Initial Setup Flow Within the Litify Platform

After installing the Docrio/Docrio Email package, you are ready to hop into Litify and move on to the next step.

Keep in mind that while Docrio Email will not work until these steps are completed, you can use other pieces of the Litify and Docrio platform while Docrio Email is being initialized. This is especially helpful to know for Step 2, as there is a point where some back-end processes need to occur and it may take some time. 

The following steps MUST be completed by a systems administrator. 

  1. Log into Litify and use the quick search bar to search for and select Docrio Email Admin Settings.
  2. From the Initial Setup section of the Docrio Email Admin Settings page, click Start Setup.

  3. Click Allow Access. Please keep in mind that it might take several minutes to complete this step.

  4. A Salesforce page will appear requesting that you grant access to your organization. This page may not appear if your browser does not allow pop-ups. Please ensure that your browser is configured to allow pop-ups, and confirm that you are logged into the correct org before proceeding. Below is an example of the pop-up being blocked in a Chrome browser, and what you’ll need to adjust to allow it.

  5. Click Allow.

  6. Click Complete Setup within the Initial Setup section of the Docrio Email Admin Settings page.

Step 3: Configuring Objects and Display Fields for Docrio Email 

After installing and initializing Docrio Email, you will need to map display fields to specific objects. This process will tell the Docrio Email add-in what information you’d like to display when viewing Matters, Intakes, or other types of records within the add-in. The process for mapping these fields is listed below:

As a reminder, this step covers just some of the things you can do on the Docrio Email Admin Settings page. For a more comprehensive overview of this page and it’s various sections and settings, please see our “Docrio Email Admin Settings Overview” article.

  1. Log into Litify and use the quick search bar to search for and select Docrio Email Admin Settings.
  2. In the sidebar, click the Objects and Display Fields section. 
    • This page will likely be blank when first opening it. This is because due to the flexibility of this app, and the variety of organizations we support, we do not map any display fields by default.
  3. Scroll to the bottom of the page and click Add Object.
  4. In the box that appears, first search for and select an Object that you’d like to map display fields to.

  5. Next, expand the dropdown under a Display Field to select what information you would like to associate with that Object.
    1. Within Docrio Email, you can select up to three Display Fields per Object.
  6. Repeat this process for all Objects that you wish to map Display fields to. 
  7. You can remove any Objects from this list using the trash can icon under the Remove column. 

Step 4: Installing the Docrio Email Manifest URL

The final step in this installation process is to install the Docrio Email Manifest URL. This URL carries with it a number of configurations that allow for smooth communication between Microsoft Outlook and the Litify platform.

Troubleshooting 

Below are some troubleshooting steps related to errors you might encounter while setting up Docrio Email.

  • Two error messages that you may receive when allowing Salesforce permission during Step 2 above.
    • {"Message":"Email license not found for organization 00D5Y000001MKIJUA4"} 
      • This error means that your organization is not yet provisioned for Docrio Email. In order to resolve this error please reach out to your CSM or Litify Support. 
    • Error Retrieving Admin Settings. We callout returned: Web callout returned: UnauthorizedException, (401) Unauthorized, null
      • This is an error you will receive while going through Docrio Email Setup when you have not waited long enough between the steps. To resolve this error, please wait five minutes and try again.
